How to Make a Gantt Chart in Excel?

First off a Gantt chart is just a picture of your plan. It lines up tasks next to dates. In 2026, Excel still doesn’t have a one-click Gantt chart, but we can build one that’s useful fast. Here’s the thing: once you see it in action, it stops being scary.

What You Need (Quick Setup)

Picture this my buddy Sam had to plan his cousin’s wedding. He had dates, tasks, chaos. Then he made a Gantt chart in Excel and boom everything looked clear. Start dates on the left, tasks stacked down, and colourful bars showing when each thing happens.

Before we jump in, make a simple table in Excel with:

  • Task name
  • Start date
  • Duration (days) you can type this or calculate it (end minus start).

Example:

TaskStartDuration
Venue booking01-Mar-263
Invitations04-Mar-265
Catering09-Mar-262

Yeah, simple.

Step 1 Insert the Chart

  1. Select your table columns (Tasks, Start dates, Duration).
  2. Go Insert → Bar Chart → Stacked Bar. Excel drops a chart on your sheet.

At first it looks messy. That’s fine.

Step 2 Make It Look Like a Gantt

  • Click the bars for the Start date series → right-click → Format Data Series → No Fill. This hides the start bars and leaves only duration bars.
  • Right-click the vertical task list → Format Axis → Categories in Reverse Order. Boom top-to-bottom tasks.

Quick tip: if your chart feels squished, drag the corners out. Don’t worry about perfection.

Step 3 Polish It

Now you can:

  • Change bar colours so “important stuff” pops.
  • Adjust the timeline scale (right-click horizontal dates → Format Axis).
  • Add labels so you see task names or days right on bars.

This part is fun. You start tweaking and suddenly you feel like a planner pro.

4 Things That Help People Most

  • Shortcuts: Save your chart as a template so next time you just paste and update dates.
  • Real-world tweak: If Sam had extra meetings pop up, he just added a row and the chart auto updated.
  • Error snag: If tasks shift and the bars don’t match dates, check your Duration formula.
  • Visual hack: Use bold colours for long tasks and pale colours for quick ones eyes love that.

FAQ’s

Do I need special Excel?
Nope. Excel 365 or older versions work. You just need the Bar chart feature.

Can I change this later?
Totally. Just update your table. The chart refreshes. No sweat.

What if my dates look weird?
Right-click the date axis → Format Axis → set bounds so start and end look right
